How Merch Invoice works with QuickBooks Online.
Merch Invoice connects to your QuickBooks Online company through Intuit's official accounting API. You keep creating invoices in QuickBooks; we send the pay link, take the card or bank payment, and record the payment and deposit back in QuickBooks.
Exactly what we read and write.
Merch Invoice asks Intuit for the QuickBooks Online accounting permission only. We use it for the jobs below and nothing else, and we never sell your data.
Read the privacy policyWe read
| Data | Why |
|---|---|
| Company name and settings | To show your business on invoices and use your home currency |
| Invoices | Lines, tax, totals, balance and due date, to create each pay link |
| Customers | Name, email and billing address, to send the invoice and the receipt |
| Chart of accounts | So you can choose where deposits and fee income are recorded |
| Payments you record yourself | To close a pay link when a customer pays by cash or check |
We write
| Data | Why |
|---|---|
| Payments | The amount charged, applied to the invoice it pays |
| Fee lines on invoices | Card, bank-transfer and late fees you set, as separate lines |
| Fee items | One item per fee type, created once when you connect |
| Deposits | One per settled batch, matching the amount your bank receives |
| Refunds and voids | So QuickBooks reflects money returned to a customer |
We never touch
- Payroll, bills and expenses
- Bank feeds and reconciliations you've finished
- Your QuickBooks settings and users
- Your Intuit password, which we never see
Connect QuickBooks in four steps.
You'll need a QuickBooks Online admin sign-in and your Merch Invoice invite. Setup takes one sitting.
Sign in to Merch Invoice
Go to app.merchinvoice.com and sign in with the invite we sent you.
Click Connect to QuickBooks
You'll find it under Settings, then QuickBooks. Intuit's sign-in page opens in the same window.
Choose your company and approve
Sign in as a QuickBooks Online admin, pick the company and click Connect. Intuit sends you back to Merch Invoice.
Pick your accounts and fees
Choose the deposit account and fee income accounts, set any fees, and decide whether open invoices get pay links too.
Then, every day
Create an invoice in QuickBooks Online and click Save. Merch Invoice emails your customer a pay link. When they pay, the payment appears on the invoice in QuickBooks, and the deposit follows when the batch settles.
You can disconnect at any time.
Signing out of Merch Invoice doesn't disconnect QuickBooks. Disconnecting does: it revokes our access with Intuit straight away.
From Merch Invoice
Settings, then QuickBooks, then Disconnect from QuickBooks.
From QuickBooks Online
Open the Apps area, find Merch Invoice in your connected apps and choose Disconnect.
What happens when you disconnect
- We stop reading and writing your QuickBooks data, and delete our access tokens.
- Everything already in QuickBooks stays exactly as it is.
- New invoices you save won't get pay links until you reconnect.
What Merch Invoice supports.
QuickBooks Online only
QuickBooks Desktop isn't supported.
US businesses, US dollars
Invoices need to be in US dollars and your business based in the US.
One company per account
Each Merch Invoice account connects to one QuickBooks Online company. Ask us about separate accounts for more.
Customer email needed
We send pay links by email, so each customer on an invoice needs an email address in QuickBooks.
